Wholesale Ordering Process for Denim Buyers
How wholesale denim ordering works: enquiry, sample, confirmation, order and delivery. Tiered pricing and minimum order to be confirmed in writing.
Overview
This page describes how a wholesale order moves from first enquiry to delivery. The process is the same for standard styles and for private label programs, although private label adds steps for artwork, labels and packaging. Each stage ends with a written record that both sides approve before the next stage starts.
Ordering steps
- Enquiry. The buyer sends the target styles, size mix, quantity range, target delivery window and destination market. The sales team replies with a quotation framework and the questions it needs answered.
- Sample. The buyer requests a sample of the selected style, fabric and wash. Sample lead time, sample charges and sample policy are to be confirmed in writing.
- Confirmation. The buyer approves the fit, fabric, wash, trims and labels in writing. Any changes after this point are treated as a new sample request and may change price and lead time.
- Order. The buyer places a purchase order that states styles, sizes, colors, quantities, unit prices, delivery terms and payment terms. The order is confirmed in writing before production begins.
- Production and quality check. Production follows the approved specification. In-line and final inspection points are agreed in advance, and inspection reports are shared with the buyer.
- Delivery. Goods are packed and shipped under the agreed delivery terms. Shipping method, carton marking and documents are to be confirmed in writing.
Pricing and quantity tiers
Unit prices are set in quantity tiers. A higher tier applies to a larger order of the same style and specification. Each tier, its quantity range and the minimum order quantity are to be confirmed in writing for each style.

What the buyer should prepare
- A short list of target styles and the number of stores or sales channels they will serve.
- A size mix that reflects the buyer's own sales history, or a stated assumption where no history exists.
- The target market and any labelling or compliance requirements for that market.
- The preferred delivery window and the latest date the goods must arrive.
